Check cases in by scanning a QR or barcode, one at a time or in a batch, using a handheld scanner or your phone as a wireless scanner. Each scan stamps the case as received, so nobody has to reconstruct what came in this morning. Every case also gets its own number and its own QR upload link for files.

Cases move across Inbox, Production, QC, Ready, and Shipped on one board, with production steps underneath for the work that actually happens — CAD design, milling, sintering, stain and glaze, final polish. When a case reaches Ready or Shipped, the doctor is notified in their portal automatically.

Every case carries a due date. Overdue cases turn red on the board, and your dashboard counts what is due today, due this week, and already late. Remakes are logged against the case with a reason and whether they are billable, so the history stays with the case instead of in someone's memory.

Marking a case Shipped creates its invoice automatically on Net-30 terms, so billing stops trailing production by a week. Invoice lines price themselves from your own catalog when you pick a product, including per-doctor pricing, quantity tiers, and material upcharges you have set.

Pick a month and SimpleLabOS finds every shipped case that has not been billed yet, groups it by doctor, and generates one statement each — with a Stripe pay link when you have online payments switched on. The same invoices export as a QuickBooks .iif file or a Xero CSV for your bookkeeper.

Scan files exported from 3Shape, Medit, or iTero come in as email attachments or through a case upload link, and STL, PLY, and OBJ files preview in the browser so you can check a case without opening CAD. Case data is encrypted with AES-256 and every change is written to an audit log, so your lab can run a HIPAA-conscious workflow — a BAA is something we're happy to discuss.
